The way we are supporting our Colleagues in Occupational Health is changing and by 1st April 2021, we will begin a new partnership with Duradiamond Healthcare.
This will mean we will slowly begin to move away from our current provider Cope, who have worked with us for a number of fantastic years.
There are lots of benefits with our new provider, Duradiamond Healthcare, who will help the Society proactively support line managers and colleagues in the workplace with any health and wellbeing issues which may arise as well giving the Society access to a wide range of materials to signpost colleagues to, so that they can access and proactively support themselves with any health issues they may have.
What is Occupational Health and why does the Society have it?
Occupational Health is a tool to help keep colleagues well at work both physically and mentally. Occupational health services help keep our colleagues healthy and safe whilst in work and manage any risks in the workplace that are likely to give rise to work-related ill health.
The Society uses Occupational Health for many reasons including -
-
Supporting colleagues who are off on long term sickness to return back to work
-
Supporting colleagues who are working with medical conditions and/or require support and workplace adjustments to help keep them safe and remain at work
-
To help signpost colleagues to other internal and external resources they can access to gain support with their health and wellbeing
-
Provides line managers with support in understanding a colleague’s medical condition and how they can best support their colleagues to remain at work
If you have any existing cases with Cope, please refer to the colleague guidance below.

Are you a colleague who has accessed support through Cope’s occupational health services?
To help in the changeover of services from our current provider Cope your medical records will be transferred from Cope, where they are currently held, to Duradiamond Healthcare.
The protection of your personal and sensitive data is of extremely important to Duradiamond Healthcare, who are bound by current data protection laws. They will:
- Only process any data you provide lawfully, fairly and in a transparent manner, ensuring they only collect the data for specific, explicit and legitimate purposes;
- Inform you of what information they are processing about you, and will never use it for any other purposes;
- Ensure the data is relevant, adequate and limited to what they need to know;
- Not transfer any of your data outside the United Kingdom;
- Ensure your details remain confidential and are not disclosed to a third party without your express consent.
You may decline the transfer of your records, however doing so may inhibit Duradiamond Healthcare’s ability to offer both you and the Society the best advice regarding your fitness to work.
If you do still wish to opt out of the transfer, you should notify the HR Advice Line via email on hr.advice@midcounties.coop and inform them of this no later than 20th February 2021.
If you wish to opt out this will mean Cope will contact you closer to the transfer date of 01st April 2021 and make arrangements directly with you to agree where your medical records will be transferred to, which may include directly to you or your GP.
Do you have a live case with Cope?
It is likely at the point of transfer that the Society has a number of open cases with Cope and we have agreed that Cope will continue to see these cases through until closure at which point the closed case will be transferred over to Duradiamond Healthcare unless you chose to opt out.
