Terms & Conditions
Colleague Travel Discount Scheme – Terms and Conditions (Effective 1 July 2025 on new bookings)
1. Eligibility
- The scheme is open to all permanent and fixed-term colleagues of the Society.
- Colleagues must be actively employed at the time of booking and at the time of travel.
- Leavers will forfeit access to any travel discounts post-departure.
2. Scheme Overview
- The scheme allows eligible colleagues to access discounted holiday bookings via Co-op Travel channels.
- Discounts are applicable on Co-op Holidays and selected third-party travel products.
- There is no upper limit (cap) on the discount value per booking.
3. Booking Channels
- Bookings must be made through authorised Co-op Travel channels:
- In-branch
- Online via the Co-op Travel portal
- Contact Centre
4. Discount Structure
- Discounts will be applied at the point of booking.
- Specific discount levels may vary by supplier and product but will be made transparent at time of enquiry.
- Where available, Co-op Holidays products will carry the most favourable discount terms.
5. Usage Terms
- The colleague must be named as the lead passenger on the booking to access the discount.
- Discounts can be used for travel with family and friends, but the colleague must be part of the travelling party.
- The discount cannot be combined with other promotional offers unless explicitly stated.
6. Payment and Cancellations
- Standard Co-op Travel booking terms apply to all discounted holidays, including deposit and final payment timelines.
- If a booking is cancelled, the standard cancellation policy will apply. Discounts do not apply to cancellation fees.
- Any refund due will be based on the discounted rate paid, not the full retail value.
7. Misuse of Scheme
- The Society reserves the right to investigate suspected misuse of the scheme.
- Misuse (including fraudulently booking travel for non-colleagues) may result in:
- Loss of access to the discount scheme
- Disciplinary action in line with the colleague conduct policy
8. General Terms
All discounts are subject to availability and supplier terms and conditions.
- The Society reserves the right to withdraw or amend the scheme at any time with reasonable notice.
- Participation in the scheme constitutes acceptance of these Terms and Conditions.
9. Contact and Support
- For queries or support with bookings, colleagues should contact their local Co-op Travel branch or the Travel Contact Centre.
10. FAQs
- Is there now no annual allowance? Correct. The annual allowance has been replaced by the new discount scheme which offers ‘NO DISCOUNT CAP.’
- Is there a limit on how many times I can have the 5/10%/15% discount? You can book as many holidays as you like with no cap on the discount amount but a TMC colleague MUST be the lead name on the booking
- Is there a maximum amount of discount that can be applied to a booking or a minimum amount of profit that needs to be made? No, the applicable 5/15% off the total package price will be applied.
- If the colleague isn’t the lead name on the booking can they still have the discount? No, they must be the lead passenger.
- Can I have discount off a Midcounties Package? No, discounts only apply to named operators
- Will the Midcounties additional discount still apply? No. This has been replaced by the new scheme
- If a booking is cancelled does the discount still remain? NO, discounts do not apply to cancellation fees.
- What date do I need to submit any current colleague discount requests to be deducted off the £500 allowance? The new process is effective from 1 July 2025
- Can colleagues still redeem gift vouchers/sop vouchers/thankyou vouchers as well as having their colleague discount? Yes
- If I have already used my annual allowance of £500 can I still take advantage of the upto 15% off further holidays that I book this year? Yes
- Will the new discount apply to existing bookings? No. The new discount will be effective from 1 July and will ONLY apply to NEW bookings.
- Can a colleague take advantage of a webmatch instead of using their colleague discount? Yes, but they cannot have both a webmatch and their colleague discount.
- Are colleague bookings confirmed before the 1st July applicable for the current colleague discount offering? Yes
- I have booked a holiday to depart in 2026, expecting to be allocated another £500 for use in that financial year. I have already used all my discount for 2025. Will you honour the discount for my 2026 booking? Yes. For any bookings that have been made between 1 February 2025 and 25 June 2025 for a departure in 2026 we will apply up to £500 discount (max 10%) in line with the current discount rules. This will only apply if you have no remaining discount to use in 2025. No other discounts will apply.
- 'Must include flights and accommodation' - Does this mean that Co-op Holiday bookings using Eurostar with hotel, Cruise and Stay options with no flights, Great Little Breaks, Hotel Only or Byways are not valid for the discount? – For Coho the bookings must include flights and accommodation as per the grid on the brief, but all other suppliers outside of Jet2/Tui/Marella/Easyjet you can have 5% on as long as they are on the sales policy and commissionable.
- There's no mention as to whether staff in travel can reduce the remaining commissions to £25 on bookings for themselves is allowed? Is this practise going to be continued as previous, or are we no longer able to do this (Even though it states BM/AM must administer the booking, are they able to reduce the commissions for us or through the central ops discount form as it is currently?) From the 1st July the new colleague discount offering is the 5-15% discount, the current one where you can reduce the commission down to £25 comes to an end unless you are doing a webmatch where you can webmatch instead of using the new colleague discount. As long as BM/AS checks and signs off the colleague booking the colleague can apply the discount.
- Are existing colleague bookings whose current staff discount, where capped at £500, were not able to apply the full level of 10%, due to limited discount remaining able to have their staff discount topped up to the current levels if applicable? – No, the new colleague discount only applies to new bookings confirmed from the 1st July as per the brief.
