The way you access your payslip is changing. This update will provide you with more information on the changes as well as the key dates for your diary. So please share this with your fellow colleagues.

We know that payroll is one of the most critical areas to get 100% right for our colleagues and have listened to all the feedback that you have reported to us. That's why at the end of January, we will be implementing a new payroll system and soon after in February, upgrading our HR and Finance (IFS) systems making our colleagues' lives easier.

However, we can’t do this without you. We need your help to ensure that you and your colleagues are aware of the changes to ensure a smooth transition for everyone within the Society.

So, what’s changing and what do I need to know?

Payroll

We have launched a new My Pay section on Colleagues Connect providing more information for colleagues regarding payroll.
Making it easier for you to access your new payroll portal so you can log in from anywhere on any device.

IFS (HR and Finance system)

You will be able to update your own records if you move or change your bank details and raise expenses in IFS. This puts you in control of your personal details.

Usernames and password to access the new payslip portal:

To log into the new payslip portal from 29/01/2023 please go to My Payslip under Quick Links on Colleagues Connect and use the longer version of your username - for example becky.smith@midcounties.coop

Your password remains the same.

If you do not remember your password, please go to Colleagues Connect and use the FastPass self-service portal here.

For any further queries, please speak to your line manager in the first instance.

hello how are colleague like myself meant to change there password on fast pay if we don't have a mid-counties email address

@Dave Bowden (FOODRETAIL) Hi Dave, Please talk to your manager who would be able to provide the longer version of your username to you. In food retail and childcare trading area Managers should have received an e-mail as of today to distribute additional usernames to colleagues. Thank you.

@Leanne Parkes (TRAVEL) Hi Leanne, Yes, historical payslip will be available for colleagues, except the 7 days downtime (15/02/2023-21/02/2023) Please go to "My payslip" on Colleagues Connect under Quick links and you will be able to see two buttons to select the relevant payslip portal. Thank you

Also same question has come in from Travel colleagues as Sarah below; with regards to the payslips changing- could we find out if colleagues will need to download and save all historical payslips or will these be available to view in the new payroll portal? assume they will be but one should never assume! Thank you

@Katie Blunt (TRAVEL) Hi Katie, Colleagues do not have to download and save their historical payslips now. Historical payslips will not be migrated over to the new payslip portal, they remain in the old system and it will be still available for colleagues, except the 7 days downtime between 15th February and 21st February. Any new payslip after 29/01/2023 will be available on the new payslip portal.

Does this mean after 22nd February we will be able to see historic payslips on the portal? The infographic is a bit confusing.

@Sarah Kuznik (PHONECOOP) Hi Sarah, Historical payslips will not be migrated over to the new payslip portal they remain in the old system and it will be still available for colleagues, except the 7 days downtime between 15th February and 21st February. So if you require a copy of your payslip during that time for any purpose (for example mortgage application) please make sure you print it out prior to this date.
